Glossary

Clinic terms, explained the way an owner uses them

This glossary defines 32 terms a homeopathy clinic owner in India meets when running branches, buying clinic software or reading a vendor's proposal. Each definition is written for the clinic, not for a software engineer. Where a term maps to something in RevisitPlus, we say so and link to the page that shows it working.

Jump to a letter, or search with your browser's find. Terms that name a RevisitPlus module (Doctor Dashboard, Owner Dashboard) describe what that screen does. Terms from law or government programmes (ABDM, DPDP Act 2023) are plain summaries for owners. They are not legal advice. If a term you meet in a vendor proposal is missing, ask us and we will add it.

A

ABDM
The Ayushman Bharat Digital Mission, the Government of India programme for connecting health records across hospitals, clinics, labs and patients. It sets up registries for health facilities and professionals and a way for a patient's records to move between them with consent. For a homeopathy clinic, ABDM matters if patients ask to link records or if a hospital partner asks for it. In RevisitPlus, the patient's ABHA number can be recorded on the patient file.

ABHA
The Ayushman Bharat Health Account, a 14-digit health ID a patient can create under ABDM. It lets records from different providers be linked to one person, with the patient's consent. Most homeopathy patients today walk in without one, so treat it as an optional field, not a gate at the counter. In RevisitPlus, the patient's ABHA number can be recorded on the patient file.

AMC
Annual Maintenance Contract. A yearly fee paid after a one-time software purchase, covering support, updates and changes within the configuration. It is how one-time software stays looked after in year two and year five. Read what an AMC includes before signing: some vendors fold hosting in, others bill it separately, and some charge extra for new branches. Ask when the AMC starts and what happens to your data if it is not renewed. In RevisitPlus, the AMC starts in year two, the clinic's dedicated server is billed at cost as a separate line, and the terms are in the written proposal.

Android app
The RevisitPlus app for Android phones and tablets, used by the owner, doctors, reception and the practice manager. The owner sees branch collections and patient counts from the car. The doctor opens today's list between consultations. Reception can register a patient and take payment on it as well as on the web at the counter. It is installed for the clinic's team at go-live. It reads from the same record as the web dashboard, so nothing needs syncing by hand. A follow-up date set at the desk shows on the phone a moment later. iPhone support follows as customers need it.
Appointment status
The label that says where a booked appointment stands: booked, confirmed, arrived, with the doctor, completed, missed or rescheduled. Statuses let reception see the waiting room at a glance and let the owner count missed visits without asking. In RevisitPlus, the clinic picks its own status names at onboarding, so the screen uses the words the counter already uses.
Audit trail
A record of who opened, changed or deleted a patient file, and when. If a prescription is edited at Wakad on a Tuesday, the audit trail shows which login made the change. It protects the doctor, settles disputes at the counter and helps the clinic answer a patient who asks who has seen their data. RevisitPlus keeps one for every patient record.

B

Branch and multi-branch
A branch is one physical location of the same practice, with its own reception, doctors and counter. A multi-branch clinic runs two or more of them under one name and one owner. The hard part is the space between branches: patients who move, prescriptions that sit in another building, collections that arrive as three different WhatsApp messages. RevisitPlus treats every branch as part of one clinic, and a new branch is quoted in writing as a one-time addition.

C

Case history and case-taking
Case-taking is the long first consultation in homeopathy, where the doctor records symptoms, modalities, mental and physical generals, past illness and family history. The case history is the written result, added to at every follow-up. It is the most valuable document a homeopathy clinic holds. In RevisitPlus the full case history sits on the Doctor Dashboard and opens at any branch the patient walks into.

Clinic management software
Software that runs a clinic's daily work: appointments, patient records, billing and reports. The term covers everything from a single-doctor booking tool to hospital systems. RevisitPlus is clinic management software built for homeopathy practices with more than one branch, and it adds what most clinic software skips: enquiry capture, follow-up tracking across branches and an owner view of every branch.
Clinic operating system
Our name for software that runs the whole loop of a clinic, not just one desk. It covers the enquiry, reception, the doctor's consultation, payment, follow-up and the owner's reports, all on one patient record. RevisitPlus calls itself a homeopathy clinic operating system because each role works in it every day, and the owner reads the whole clinic from it. A booking tool runs one desk. An operating system runs the day.
CRM
Customer Relationship Management software, built to track leads and customers through a sales pipeline. Many clinic vendors use the word. RevisitPlus does capture enquiries and track their status, but a clinic is not a sales pipeline: the patient file, the prescription and the follow-up matter more than the deal. That is why RevisitPlus does not describe itself as a CRM.

D

Day-end
The count at closing time, when the counter totals cash, UPI and card collections for the day and matches them against visits. In a paper clinic, day-end means a register, a calculator and a WhatsApp photo to the owner, and it rarely matches on the first try. RevisitPlus produces day-end totals by payment mode and by branch, with each payment already tied to a visit.
Doctor Dashboard
The screen a doctor works from in RevisitPlus. It shows today's patient list, the full case history, past prescriptions, medication and follow-up dates. The doctor can reschedule a patient and set the next follow-up during the consultation, while the patient is still in the chair. Patients who missed a visit show up the same day, not at month end. When a patient from another branch walks in, their file opens here too.

DPDP Act 2023
The Digital Personal Data Protection Act, 2023, India's law on how organisations collect and use personal data held in digital form. It says a business needs a lawful reason, usually consent, to process someone's personal data, must keep it secure and must honour requests to correct or erase it. Under the Act, a clinic deciding why patient data is collected is the data fiduciary. Software vendors like Accucia process data on the clinic's behalf. This is a plain summary, not legal advice.

E

EMR
Electronic Medical Record, the digital version of a patient's chart within one practice: history, diagnoses, prescriptions and notes. An EMR replaces paper files but does not, by itself, capture enquiries, track missed follow-ups or show the owner collections. RevisitPlus holds an EMR-style patient record and builds the rest of the clinic's day around it. Old paper records come in gradually, as doctors add them during normal consultations.

Enquiry or lead
A person who has contacted the clinic but has not yet visited. Enquiries arrive by phone, WhatsApp, the website and Facebook ads. Unanswered enquiries are the first leak in most clinics, because nobody can count the ones nobody called back. In RevisitPlus, Facebook lead form and website enquiries arrive in one list automatically, reception adds phone, WhatsApp and walk-in enquiries to the same list, logs every call, and a lead becomes a registered patient when they book.

F

Follow-up
A planned return visit after the first consultation. Homeopathy treats chronic conditions over months, so the follow-up is where most of the clinic's care and revenue happen. A missed follow-up often becomes a patient who quietly stopped coming. RevisitPlus sets the next follow-up date at the consultation, sends a WhatsApp reminder and lists everyone who did not come. A clinic grows on its follow-ups, not its first visits.

L

Lead source
Where an enquiry came from: a Facebook ad, the website form, a walk-in, a referral, a Google listing or a phone call. Recording the source tells the owner which channels bring patients who stay, not just which bring the most calls. A Facebook campaign that fills the phone but never fills the follow-up list is costing more than it looks. In RevisitPlus, the clinic's lead sources are set up at onboarding and every enquiry carries one.
Lead status
The stage an enquiry has reached: new, called, no answer, call back later, booked, visited or not interested. Statuses show reception who to call next and show the owner how many enquiries are stuck at each stage. RevisitPlus lets the clinic define its own status list, so it matches the words the front desk already uses. Every call is logged against the lead, so the next receptionist on shift knows what was said.

M

MIS
Management Information System, in Indian business usage the set of regular reports an owner reads to run the place. For a clinic, MIS means repeat patients, patients by scheme, city, branch and disease, appointment statuses and payments by mode. RevisitPlus MIS Reports come with filters and export, so the accountant and the marketing person read the same numbers.

Missed visit
A scheduled appointment or follow-up the patient did not attend. One missed visit is a reminder problem. A pattern of them at one branch is a management problem. RevisitPlus shows missed visits the same day on the Doctor Dashboard and on reception's screen, so reception can call the patient while the reason is still fresh. Often the reason is simple: a wedding, an exam, a forgotten date. A call that evening rebooks most of them.

O

One-time fee
A software purchase where the clinic pays once, then an annual AMC for support and updates. It differs from a subscription, where the fee recurs every month or year and often rises with each doctor or branch. RevisitPlus is sold on a one-time fee that covers the product configured to the clinic plus implementation, run by a dedicated project coordinator from Accucia. From year two the clinic pays an AMC plus the cost of its dedicated server. There is no per-user, per-doctor or per-branch fee.
OPD
Outpatient Department. In a homeopathy clinic, OPD means the consultations of patients who come, see the doctor and leave the same day, which is almost every patient. OPD registers, OPD numbers and OPD counts are the daily language of reception. In RevisitPlus, registration and the day's OPD list run from the Receptionist Dashboard. Each OPD visit carries its doctor, its payment and its next follow-up date, so the register writes itself.
Owner Dashboard
The owner's screen in RevisitPlus. It shows new and follow-up patients by branch, doctor and city, and today's collections by payment mode, on the web and on the Android app. It answers the questions an owner usually phones each branch to ask, before the first consultation of the day: how many came, how many were new, how much was collected and in which mode. Most owners read it on the phone, from home or from the car.

P

Patient Journey Loop
The five stages a homeopathy patient moves through: enquiry, first visit, follow-up, renewal and referral. Patients rarely leave at the consultation. They leave in the gaps between these stages. A Facebook enquiry nobody called back is a leak at stage one. A chronic patient who skipped month three is a leak at stage three. Mapping the loop shows the owner exactly where their clinic loses people, and which module closes that gap.

Patient Journey Review
A 30-minute session with the RevisitPlus team. We map the clinic's Patient Journey Loop, the owner says where patients fall out, and we show that point running live with the clinic's own branch names. There is no proposal unless the owner asks for one. It happens in person in Pune and Mumbai and on a call elsewhere.

R

Repertory
A reference book or software that indexes symptoms against remedies, used by homeopaths to choose a prescription. Kent's and Boericke's are the best known. Repertory software is a prescribing tool. RevisitPlus is not a repertory. It runs beside whichever repertory the doctor already trusts, and holds the case history, prescription and follow-up that come out of it.
Revisit Rate
The share of patients who come back for their next scheduled follow-up within an agreed window. It is the clearest single measure of whether a homeopathy clinic keeps its patients. RevisitPlus tracks it by branch, doctor and treatment scheme. A first-visit count tells you how many people tried the clinic. Revisit Rate tells you how many stayed. Read the full definition, the formula and a worked example on its own page.
Role-based access
A rule that each staff login sees only what its role needs. Reception sees registration, appointments and payments. Doctors see case history and prescriptions. The owner sees reports across every branch. In RevisitPlus, access is set per role and per branch, so staff can be limited to their own branch's patients and reports while the owner and chosen managers see all branches. It keeps patient data private inside the clinic and stops accidental edits. RevisitPlus sets roles at onboarding and logs every change in the audit trail.

S

Scheme (treatment package)
A fixed treatment plan sold as a package, for example three or six months of consultations and medicine for a chronic condition. Schemes help patients commit and help the clinic plan follow-ups. They also need tracking: who is on which scheme, when it ends and how much is still due. In RevisitPlus each scheme is set up once in the Scheme Master with its name, duration and amount. When it is assigned to a patient, the end date is calculated automatically, and every patient log shows the scheme history with the amount collected and the amount remaining. MIS Reports list patients by scheme, and Revisit Rate is tracked per scheme.

U

UPI
Unified Payments Interface, India's real-time payment system run by NPCI, used through apps like Google Pay, PhonePe and Paytm. Most clinic counters now take more UPI than cash. The trouble starts at day end, when UPI credits must be matched to patients by name. RevisitPlus records each payment against a visit with its mode, so UPI totals by branch are ready at closing.

W

WhatsApp Business API
The official route Meta provides for businesses to send WhatsApp messages from software, using approved message templates. It differs from the WhatsApp Business app on a receptionist's phone, which is manual and tied to one device. RevisitPlus uses the API to send appointment reminders, digital prescriptions, follow-up notices and receipts from the clinic's own verified business number, so patients see the clinic's name. WhatsApp message charges are billed at cost.
