Follow-ups and Missed Visits · Feature
Patients who come back for the next follow-up, and a same-day list of those who did not
Follow-ups and Missed Visits is the RevisitPlus module that keeps long homeopathy treatment on schedule. The doctor sets a follow-up date at every consultation. The patient gets a WhatsApp notice before it. If the visit is missed, it shows the same day, so reception can call while the patient is still reachable. The clinic tracks Revisit Rate by branch, doctor and treatment scheme.
The problem
The problem this solves: the follow-up leak
A clinic grows on its follow-ups, not its first visits.
Every homeopath knows this. The first consultation is long, careful and often the easiest part. The difficult part is month three. The patient with childhood asthma whose mother has been bringing him every three weeks. The woman with hair loss who was told results take time, and was patient, until one Saturday she was busy and did not come.
On paper, nothing happens when she misses. Her follow-up date was written on a card in her handbag. Reception has a register of who came, not of who did not. The doctor sees the patients in the cabin. Nobody is looking at the empty chair.
Six weeks later her file is still in the cupboard. Two months later she tells a neighbour that homeopathy did not work for her. The clinic did not lose her at the consultation. It lost her in the gap between two visits, and nobody saw it happen.
This is the follow-up leak. It is the quietest of the five, and owners usually notice it last.
How it works in RevisitPlus
- 1
The doctor sets the next date at the consultation
Before the patient leaves the cabin, the doctor sets the follow-up date on the Doctor Dashboard. It sits in the patient's file and on the clinic's schedule, where everyone at the branch can see it.
What this gets you: every patient under treatment has a next visit the clinic can see.
- 2
The patient gets a WhatsApp notice
RevisitPlus sends the follow-up notice and appointment reminder on WhatsApp, from the clinic's own business number, verified on the WhatsApp Business API. Patients see the clinic's name and read it where they read everything else. Patients on a treatment scheme also get WhatsApp follow-up messages on the schedule configured for that scheme. See treatment schemes
What this gets you: fewer follow-ups forgotten because life got busy.
- 3
The follow-up appears on the day's list
On the day, the patient is on the doctor's list and on reception's screen with the right status. Reception can confirm in the morning.
What this gets you: nobody has to look up who is due today.
- 4
A missed visit shows the same day
If the patient does not come, the missed visit shows that day on the Doctor Dashboard and on reception's screen. It does not wait for a monthly review or for someone to notice a thin file.
What this gets you: you find out in hours, while the patient still remembers why they started treatment.
- 5
Reception calls and reschedules
Reception calls the patient, finds out why, and reschedules on the spot. Sometimes the reason is a clash with exams or a wedding in the family. Sometimes the patient is unsure the medicine is working, and that call is the moment the doctor needs to hear about it. The doctor sees the new date on the dashboard.
What this gets you: a missed visit becomes a moved visit instead of a lost patient.
- 6
Revisit Rate, by branch, doctor and scheme
RevisitPlus tracks Revisit Rate, the share of patients who come back for their next scheduled follow-up. The owner sees it by branch, by doctor and by treatment scheme, and MIS Reports show repeat patients over any period. See how Revisit Rate is defined
What this gets you: one number that tells you if your clinic keeps the patients it already has.
Who uses it
Doctor
Sets the follow-up date at every consultation and sees missed visits the same day.
Reception
Confirms the day's follow-ups, calls the patients who missed, reschedules.
Practice manager
Watches missed visits across branches during the week and checks that every missed patient got a call.
Owner
Reads Revisit Rate by branch, doctor and scheme. Asks why one branch keeps its patients and another does not. Sometimes the answer is a doctor's style, sometimes a receptionist who calls back and one who does not. Either way, it is now a conversation with a number behind it.
Old way vs RevisitPlus
| Old way | With Follow-ups and Missed Visits | |
|---|---|---|
| Next visit date | Written on a card the patient carries | Set by the doctor, on the clinic's schedule |
| Reminder | None, or a call if reception has time | WhatsApp follow-up notice and appointment reminder |
| Who is due today | Worked out from the register | On the doctor's and reception's list |
| Missed visit | Noticed weeks later, if ever | Shown the same day |
| Call back | Depends on who remembers | Reception calls and reschedules on screen |
| Retention by branch | Unknown | Revisit Rate by branch, doctor and scheme |
| Patients who quietly stopped | Discovered when the file is pulled for some other reason | Visible in MIS Reports as repeat patients drop |
How it connects to the rest
What Dr. Tathed's team says
“They have always been very cooperative with our changes, and they have customised it as per our liking.”
